This policy explains what RoverCT, LP (“Rover CT”, “we”) collects from people who use roverct.com, why we collect it, who else sees it, and how to ask us about it. It applies to the public website, the practice portal, and the emails we send.

What we collect, and why
When a veterinary practice registers
The registration form asks for: the practice’s name, phone, street address, city, county, state and ZIP code; the name and email address of the person registering; the lead veterinarian’s name; how often the practice would like visits; and a preferred day or time. We use this to set up the practice’s account, decide which of our scheduled days it can book, and contact the practice to arrange a first visit. The email address becomes the practice’s portal login.
When a practice uses the portal
A practice records the animals it is booking for a visit: the animal’s name, species, breed, weight, the region to be scanned, the clinical reason for the scan, and any sedation or contrast notes the practice chooses to add. We do not ask for, and the portal has no field for, the animal owner’s name or contact details. We also keep the practice’s bookings, urgent requests, invoices and payment status.
When someone signs in
Signing in sets a session cookie so the portal or dashboard knows who is asking. It is strictly necessary for the service to work and is the only cookie this site sets. We use no analytics, advertising or tracking cookies. [If analytics are added later — see the “after launch” list — this paragraph changes.]
When anyone visits the website
Our hosting provider records ordinary web-server logs (the address requested, the time, the browser’s reported type, and the network address it came from) for security and to keep the site running. To stop abuse of the registration form we briefly note the network address a submission came from; that note is held in memory for minutes and is not stored.
Payments
Invoices can be paid by card through Stripe. Payment happens on Stripe’s own pages; we never see or store a card number. Stripe tells us that an invoice was paid, the amount, and a reference. Stripe processes card data under its own privacy policy at stripe.com/privacy.
Who else sees it
We share information only with the companies that run the service for us:
- Supabase hosts our database and sign-in system (servers in the United States).
- Netlify hosts the website and its server code.
- Resend delivers the emails we send you (welcome letters, booking confirmations, invoices).
- Stripe processes card payments.
- Goldstone Solutions, which built and maintains the software, has administrative access for support and maintenance.
We do not sell personal information, and we do not share it with anyone for their own marketing. We will disclose information if the law requires it.
The public directory
A practice can choose to be listed on our “For pet owners” page so that animal owners can find a nearby practice offering CT. That listing shows only what a practice already publishes on its own door — name, address, city, ZIP and phone — and appears only when the practice has opted in and is active with us. A practice can withdraw at any time by asking us.
Imaging
Rover CT performs scans and passes the images to a board-certified veterinary radiologist for a written report. The website and portal do not store, display or transmit scan images; they handle scheduling, patient lists and billing only.
How long we keep it
Practice accounts, bookings and invoices are kept for as long as the practice works with us and for [seven] years afterwards, because invoices are financial records. A record of each email we sent (the recipient, subject and whether it was delivered — not the temporary password) is kept for the same period. A practice that stops working with us can ask us to close its account and remove its portal login.
Your choices
You can ask us what we hold about you or your practice, ask us to correct it, or ask us to delete it where we are not required to keep it. Write to info@roverct.com. New Jersey residents have rights under the New Jersey Data Privacy Act; we will respond to a request within 45 days.
Security
Data is encrypted in transit. Practice logins are password-protected, and each practice can see only its own records. Temporary passwords expire on first use.
Children
The website is for veterinary professionals and is not directed at children.
Changes
If this policy changes, the date at the top changes with it, and a practice with an account will be told by email.
